Privacy information: contract documents and online withdrawal
Controller: Vitorlás Világ Kft., Kosztolányi Dezső utca 1, 2120 Dunakeszi, Hungary; info@sailingworld.uk; +36 30 411 11 41.
Order and contract documents
To establish the contents of an order and contract and the parties’ declarations, we retain the original order summary, first receipt acknowledgment, separate acceptance email and supplied contractual attachments under the order identifier. The documents contain original email headers, sender, recipient and time; your name and email address; necessary billing and delivery details; goods, quantities, prices, taxes, discounts, charges and payment and performance terms. We do not request card information or bank login or approval codes for this purpose.
Creating, performing and settling the contract is based on Article 6(1)(b) GDPR. Required confirmations and statutory retention obligations are based on Article 6(1)(c). After performance, evidence necessary to establish, exercise or defend legal claims is retained under Article 6(1)(f); our legitimate interest is proving the original terms, declarations, deadlines and settlement.
We retain the documentation during performance and settlement and subsequently, to the extent necessary for legal claims, in line with the general five-year limitation period from the due date of the relevant claim. Suspension or interruption of limitation, or an ongoing dispute, may require longer retention of necessary evidence. Accounting records have a separate retention period of at least eight years; consumer complaints and substantive replies have a three-year period. We delete personal data no longer necessary. Deleting an account does not automatically remove evidence retained on another lawful basis.
The archive is private and accessible only to authorised staff. Original documents are linked to the order identifier in an archive with restricted access; later order changes do not overwrite the original contract evidence. You may request your own contract copy; we may verify your entitlement before disclosure.
Online withdrawal declarations
We process your declaration to receive and acknowledge it, arrange returns and refunds, and establish its contents and receipt time. Data include name, details identifying the contract, acknowledgment email address, affected goods, declaration and time, case identifier, sending status and necessary case notes. The form does not require a reason, account, identity document or bank account number.
Receipt and legally required acknowledgment are based on Article 6(1)(c) GDPR and the applicable statutory withdrawal obligations. Handling termination of the contract is based on Article 6(1)(b). After settlement, necessary evidence for legal claims is retained under Article 6(1)(f), for the legitimate interest of proving declarations and settlement. The retention periods and deletion conditions described above also apply to this evidence. Closing a case does not itself delete its records.
The strictly necessary vv_withdrawal_session_intl session cookie connects the preview, confirmation and download of your own copy using a random identifier until the browser session ends. The short-lived submission counter contains no name, email address, declaration or IP address. Hosting and other security logs are separate processing activities.

Subject to statutory conditions, you may request access, correction, erasure and restriction, object to processing based on legitimate interests, and request portability for automated processing based on the contract. Legal obligations and necessary legal-claim evidence may limit erasure. We normally respond within one month and inform you within that period of a justified extension. Contact info@sailingworld.uk. You may complain to the Hungarian supervisory authority NAIH, or the competent authority in your place of habitual residence, work or alleged infringement, and seek a judicial remedy.
We do not require marketing consent for these activities and do not make decisions about contract rights or document-copy requests solely by automated means. This notice covers the two activities specified above. General registration-data deletion statements do not replace these specific retention rules. Other website processing is described in the general Privacy Notice (Hungarian).
